This Privacy Notice describes how CFS Advisors LLP ("we," "us," or "our") collects, uses, and processes personal data. This policy applies to purchasers ("Buyers") and participants ("Guests") of our webinar series residing in the United Kingdom (UK), the European Union (EU/EEA), and Switzerland (CH).

Right to Lodge a Complaint: You have the right to lodge a complaint with a supervisory authority:

  • UK: Information Commissioner's Office (ICO) (www.ico.org.uk)
  • Switzerland: Federal Data Protection and Information Commissioner (FDPIC)
  • EU: Your local Data Protection Authority

3. Personal Data We Collect

  • From Buyers: Name, contact details, company information, and billing address. Payment details are processed securely by Stripe and are not stored by us.
  • From Attendees (Guests): Email address (provided by the Buyer). Upon registration, we collect your Name and marketing preferences.
  • Audiovisual Data: If you voluntarily choose to engage during the presentation (e.g., unmuting your microphone or turning on your camera), we may capture your voice or likeness in the recording.
  • Technical Data: IP addresses and interaction logs processed via the LiveWebinar platform.

4. Legal Basis for Processing

  • Contractual Necessity (Art. 6(1)(b) GDPR): To deliver the webinar series and manage your purchase.
  • Legitimate Interest (Art. 6(1)(f) GDPR): To facilitate guest invitations and to record the presentation portion of webinars for "catch-up" access for registered participants.
  • Consent (Art. 6(1)(a) GDPR): For marketing communications. Consent is collected via an explicit opt-in and can be withdrawn at any time.

5. Disclosure to Third Parties

To confirm eligibility for participation and membership discounts, we may share identifying information of Buyer and Guest with third parties, including the Swiss Biotech Association.

6. Technology Stack & Sub-Processors

We use the following specific providers to deliver our services:

  • Webinar Hosting: LiveWebinar (Event delivery and recording).
  • Payment Services: Stripe (Payment processing).
  • Automation: Internal workflow tools; execution logs are purged every 14 days.
  • Communications: Dedicated tools for transactional and marketing emails.

7. Cookies and Tracking

We do not use tracking cookies or pixels on our management portal. Our hosting provider, LiveWebinar, uses "strictly necessary" session cookies to ensure the stability and security of the webinar room.

8. International Data Transfers

We may disclose your data to recipients in the following locations:

  • United Kingdom: Our primary base (recognized by the EU/CH as providing an adequate level of protection).
  • European Union (EEA): Where LiveWebinar primarily stores data.
  • United States: Payment processing (Stripe). Transfers are protected by Standard Contractual Clauses (SCCs) or the UK-US/EU-US Data Privacy Framework.
  • Switzerland: Where the Swiss Biotech Association has its domicile.

9. No Automated Decision-Making

We do not use automated decision-making or profiling that has legal or significant effects on you.

10. Data Retention

  • Webinar Recordings: Retained for 12 months from the date of the session, after which they are deleted.
  • Event Metadata: Retained for the duration of the series plus 12 months for administrative purposes.
  • Financial Records: Retained for 6 years as required by UK Tax Law.
  • Marketing Data: Retained until you withdraw consent.

11. Your Rights

You have the right to access, correct, or delete your personal data.

  • Guests: All invitation emails include a "Decline and remove my data" link for immediate deletion.
  • General Requests: Contact us via the details in Section 2.

12. Webinar Recordings

To provide maximum value, we record the presentation portion of our webinars.

  • Scope: The recording is limited to the speaker's video, audio, and slides. We do not record the Q&A session or private chat logs.
  • Anonymity: Our speakers are instructed not to call on Guests by name during recorded segments.
  • Voluntary Participation: If you unmute or enable your camera, you acknowledge that your contribution will be recorded. To remain anonymous, please use the chat function or wait for the unrecorded Q&A.
